Privacy Policy

Aiden Risk, Inc. ("Aiden Risk," "we," or "us") provides commercial insurance brokerage services through our platform at aidenrisk.com. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data.
1. Information We Collect
We collect the following categories of information:
- Personal identifiers: name, email address, phone number, business address, and account credentials.
- Business information: legal entity name, EIN, NAICS code, industry classification, revenue, headcount, locations, prior insurance history, claims history, and other underwriting facts you provide.
- Payment information: payment instrument details and billing data, processed through our payment processor (Ascend). We do not store full card numbers on our systems.
- Voice recordings and transcripts: when you use the voice intake feature, we record audio and produce text transcripts to extract underwriting information. Recording requires your consent on every call.
- Communications: messages you exchange with your broker through the platform, support requests, and email correspondence.
- Usage and device data: IP address, browser type, pages visited, and timestamps, used for security and fraud prevention.
2. How We Use Your Information
- To produce insurance quotes and bind coverage on your behalf.
- To operate the broker workflow: case management, document collection, carrier submission, and policy servicing.
- To meet regulatory and licensing obligations applicable to insurance producers, including record retention required by state insurance departments.
- To detect and prevent fraud, abuse, and security incidents.
- To improve the platform, including improving AI-driven intake and recommendation features. We do not sell your data, and we do not use your data to train models offered to other customers.
- To send you transactional notifications (renewal reminders, document requests, claim updates). Marketing email is sent only with consent and includes an unsubscribe link.
3. How We Share Your Information
- Insurance carriers: We submit your information to carriers you (or your broker) choose to quote with. Each carrier has its own privacy practices, which govern their use of your data once received.
- IVANS and industry data exchanges: We use IVANS and similar networks to exchange policy and download data with carriers you are placed with.
- Payment processor (Ascend): Premium payments and refunds are processed by Ascend under their terms.
- Service providers: cloud hosting, error monitoring, email delivery, analytics, and similar vendors operating under contractual confidentiality and data-protection commitments.
- Legal and regulatory: when required by law, subpoena, regulator request, or to enforce our agreements.
We do not sell or rent your personal information to third parties and we do not share it for cross-context behavioral advertising.
4. Data Retention
- Binding records (policies, applications, COIs): retained for at least 7 years after the policy is no longer in force, or longer where state insurance laws require.
- Audit logs and security telemetry: retained for 90 days, except where a longer period is required for an active investigation.
- Voice recordings: retained for the life of the case and then aged out per the schedule above; you may request deletion subject to regulatory holds.
- Marketing data: retained until you unsubscribe or for 24 months of inactivity, whichever is sooner.
5. Your Rights
Depending on where you live, you may have rights under the California Consumer Privacy Act (CCPA/CPRA), the European Union General Data Protection Regulation (GDPR), or similar laws. These include:
- Right to access: request a copy of the personal information we hold about you. Use /portal/account/export.
- Right to delete: request deletion of your personal information, subject to retention obligations described above. Use /portal/account/delete-request.
- Right to correct: request correction of inaccurate information through your account settings or by contacting support.
- Right to opt out: of marketing communications at any time via the unsubscribe link.
- Right to non-discrimination: we will not deny service, charge different prices, or provide a different level of service because you exercised a privacy right.

6. Security
We follow SOC 2-aligned controls for confidentiality, integrity, and availability. This includes encryption in transit and at rest, role-based access controls, multi-factor authentication for staff, audit logging, and regular security reviews. No system is perfectly secure; if we discover an incident affecting your data, we will notify you in accordance with applicable law.
7. Children
The platform is intended for use by businesses and adult professionals. We do not knowingly collect personal information from children under 16.
8. International Transfers
Aiden Risk operates in the United States. If you access the platform from outside the United States, your information will be transferred to and processed in the United States.
9. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or through an in-product notice. The "Effective" date at the top of this page indicates when the current version took effect.
